The Cystic Fibrosis Foundation is looking forward to re-convening in San Antonio, TX for NACFC 2021. There will be an opportunity to host Affiliate Meetings at the Grand Hyatt, with additional safety measures in place. At this time, the Grand Hyatt requires masks when not actively eating or drinking, 6 foot social distancing, and modified room sets. Communication between your group and assigned hotel event manager will be critical to ensure compliance with current health and safety guidelines as they evolve. It is possible that the health and safety requirements could change prior to September. Please plan your meetings for the current conditions.

The Affiliate Meeting Request Form should be used by educational, medical, and research-based groups. Exhibitor and corporate supporters will not be approved for affiliate meetings. Requests will be approved and meeting space assigned on a first-come, first-served basis.

We recommend surveying your attendee base to ensure a successful face to face meeting in San Antonio, a few things to consider:

  • Is your audience attending NACFC in person?
  • Will your speakers be comfortable traveling and attending in person?
  • Do you have staff willing to travel to execute and support your program?
  • Will current social distancing/safety protocols allow you to meet your in-person meeting objectives?

Completed applications must be returned by July 29. Forms received after this time may be declined.

  • Affiliate group functions must adhere to CF Foundation regulations and may not conflict with NACFC programming.
  • Affiliate groups are responsible for all costs associated with services ordered (i.e. catering, A/V, internet, entertainment, etc.).
  • Payments are due directly to the assigned hotel.
  • Program development, meeting materials, registration, and invitations are the group’s responsibility.
  • If your meeting requires setup time prior to your meeting start time, you must indicate that in the function specifications section.
  • Please complete the section labeled publishing information. Only meetings that have indicated their desire to be published by checking the appropriate box will appear in the Final Program and on the NACFC website.
  • Complete all fields and use one application per function; applications must be submitted via email by July 29.
  • NACFC Show Management will provide written acknowledgement of your request within 14 business days of receipt and provide contact information for the event sales manager, banquets, and in-house A/V at your assigned meeting property at that time.
  • Space will be assigned based on the date the completed application is received.

Attendance Policy

The CFF Attendance Policy states that for events and activities: Only one person with CF should attend any camp, educational retreat, or CF Foundation sponsored indoor event. 

This policy is in place to preserve the health and well-being of people with cystic fibrosis, by reducing the risk of getting and spreading dangerous germs. As a non-CFF Staff member who is organizing an affiliate event, you are encouraged to coordinate with the Foundation’s Meeting team to develop video conference solutions to eliminate the potential risk from in-person attendance. Although this is discouraged, if you intend to invite a person with CF, please be sure that they are aware of the potential risks. NACFC does not require that people with CF identify themselves. Therefore, we cannot say with certainty that an invited guest will not be in proximity to another person with CF.

COVID-19 Policy:

With the health and safety of NACFC participants in mind, the CF Foundation requires that all in-person NACFC participants be fully vaccinated against COVID-19 at least two weeks before the date on which you first attend the meeting.
